Overview
Some departments use shared department student worker accounts to access systems such as SIS and EAB Navigate. This article outlines how to use, enroll, and secure these accounts.
Who this applies to
- Supervisors hiring regular undergraduate student employees in any department except GBIT positions.
- Supervisors hiring regular graduate student employees in any department except IT-related positions and Graduate Assistants.
Department “ST” accounts
Student employees in most cases should use a department student worker account that IT previously created, such as STREGISTAR1 (example only).
- Password resets: The GBIT Service Desk or the student’s supervisor can reset the password on the department “ST” account.
- SSO/Okta issues: Direct any sign-in or SSO issues for department “ST” accounts to the GBIT Service Desk.
- Need another “ST” account? Submit a request to the GBIT Service Desk for your area.
Okta enrollment
To enable Okta for a department student worker account:
- The supervisor and the student meet with the GBIT Service Desk in person or via Zoom.
- A Service Desk technician resets Okta for the department account and walks the student through setup.
Tracking and security
- Supervisors must track which student is assigned to which department “ST” account for the duration of employment.
- When a student leaves employment, the supervisor should reset the “ST” account password as a security measure.
- Do not share accounts or passwords between multiple student employees at the same time.
Access requests: SIS and Navigate
SIS
If an “ST” account requires SIS access, include that request in your Service Desk ticket.
EAB Navigate
- The UW-Green Bay Navigate Administrator must manually create a matching account so the department “ST” account can sign in to Navigate.
- Each “ST” account that needs Navigate is added to the EABNavigate g-group to enable the integration.
- Include the Navigate access need in your Service Desk request.
When to use a Person of Interest (POI) account
Use a POI account created by Human Resources for outside contracted temporary workers. Examples include Military Recruiters, Prevea employees who work on campus, and Athletic Trainers. Get confirmation from GBIT before HR enters the POI in HRS.
Reminder: Student employee account usage
REMINDER
Supervisors hiring regular undergraduate or graduate student employees (excluding GBIT and Graduate Assistant roles) should ensure the use of designated general “ST” accounts provided by IT.
- Account passwords can be reset by the GBIT Service Desk or the supervisor.
- Direct Okta/SSO issues to the GBIT Service Desk.
- Request new “ST” accounts through the GBIT Service Desk.
- For Okta enrollment, meet the Service Desk with the student or arrange a Zoom session.
- Track which student is assigned to which account.
- Reset the account password when a student’s employment ends.
- Do not share accounts or passwords between students.
