Request Access

ChatGPT @ UW-Green Bay is a paid, secure workspace managed by UW-Green Bay Information Technology (GBIT). Access is available by request only.

To request access: Submit the ChatGPT Access Request Form.

Once your request is reviewed and approved, you will receive an email invitation from OpenAI/ChatGPT to join the ChatGPT @ UW-Green Bay workspace. You must accept this invitation to begin using your UWGB-licensed ChatGPT account.

After Access Is Approved

After approval, OpenAI will send you an invitation email. Use your @uwgb.edu credentials when joining the workspace.

Important: It may take up to an hour for access to sync. If you see an “Access Denied” message when signing in, please wait and try again later.

Data Migration and Account Notes

If you previously used ChatGPT with your @uwgb.edu email address, review the scenarios below before joining the new workspace:

If data cannot be migrated automatically, you can manually copy important information before joining the new workspace:

  • Personalization: Go to your name/profile → Settings → Personalization → copy your “Custom Instructions” and “About You” text into your new workspace.
  • Custom GPTs: In your old workspace, open the GPT → click the GPT name → Edit GPT → copy all fields. In your new workspace, click Explore → + Create → Configure tab and paste your content.
  • Chats: Copy any important conversations and save them to a text document. You can later recreate these in the new workspace or upload the text file for context in future chats.

Note: Complete any desired exports before accepting your new workspace invitation. Once you join, access to your previous workspace may be removed.

After Joining the Workspace

Once you’ve joined the ChatGPT @ UW-Green Bay workspace, you may still see your previous workspace listed. Be sure to use the ChatGPT @ UW-Green Bay workspace for all university-related activity.

This workspace is SSO-enabled and uwgb.edu-domain verified, meaning you sign in securely using your UWGB credentials.

Benefits of ChatGPT @ UW-Green Bay workspace:

  • Secure and compliant access: Your data is protected within UW-Green Bay’s verified domain and complies with Universities of Wisconsin data security standards.
  • Central management and support: All UW-Green Bay users operate within the same secure workspace environment for consistency and data protection.

Use of non-IT-approved ChatGPT accounts for university work is not permitted, as it may introduce security or compliance risks.
