Canvas (Instructors) - Use Zoom Appointment Scheduler to Create Bookable Meetings in Canvas

Summary

This article describes how to use the Appointment Scheduler feature of the Zoom Canvas integration to create bookable appointment schedules that students can reserve to set up one-on-one Zoom meetings.

Body

The Zoom Canvas integration includes an "Appointments" page which allows instructors to set up bookable schedules with time slots that students can reserve for one-on-one Zoom meetings. This feature can be used to facilitate course activities like office hours and oral exams. Instructors set up a bookable schedule, and then students can reserve appointment time slots within that schedule. Each scheduled appointment will have a unique meeting ID and join link. The student and instructor can join the Zoom meeting for a reserved appointment through the join link found in an automatic confirmation email message sent by Zoom or through the list of upcoming appointments in the Canvas course's Zoom integration.

Creating a Bookable Schedule

Follow these steps to create a new bookable schedule with meeting time slots that students can reserve:

  1. Navigate to the Canvas Course in which you'd like to create the bookable schedule.
  2. Select Zoom in the course navigation menu.

  3. Select Appointments at the top of the Zoom integration page.

  4. Select the + Create Schedule button.

  5. Enter details for the bookable schedule:

    1. Select each day of the week for which you would like to create bookable appointments
    2. For each selected day of the week, enter a start time and end time for that day's bookable time. You can add an additional block of bookable time for a day by selecting the plus button to the right of the end time.
    3. Select a Start Date for the schedule.
    4. To set an end date for this recurring weekly schedule, check the box next to End repeat on and then enter an End Date for the schedule.
    5. Select the Duration for individual appointments.
    6. Enter a name for the schedule in the Event Name field.
    7. (Optional) Add additional information for students in the Event Description field.
    8. If you want this schedule to be available to students in all Canvas courses you teach, check Apply schedule to all courses. If you only want students in this Canvas course to be able to book appointments, leave this box unchecked.
       
  6. Select the Create button.

Students will now be able to book meetings during the scheduled times. You can edit an existing bookable schedule by selecting its Edit button and delete the entire schedule by selecting the Delete button.

Starting a Scheduled Meeting

After a student books a time slot on your schedule, Zoom creates a meeting, sends an email notification with the meeting join link to both the student and instructor, and adds the meeting to the "Upcoming Events" tab of the Appointments page.

Follow these steps to view booked appointments and start a meeting from the Zoom Canvas integration:

  1. Navigate to the Canvas Course in which you created the bookable schedule.
  2. Select Zoom in the course navigation menu.

  3. Select Appointments at the top of the Zoom integration page.

  4. Select the Upcoming Events tab

  5. Select the Start button next to the meeting you want to start.

Cancelling a Scheduled Meeting

Follow these steps to cancel a scheduled meeting:

  1. Navigate to the Canvas Course in which you created the bookable schedule.
  2. Select Zoom in the course navigation menu.

  3. Select Appointments at the top of the Zoom integration page.

  4. Select the Upcoming Events tab

  5. Select the Cancel button next to the meeting you want to cancel.

  6. In the confirmation window, select Yes, Cancel.
     

Zoom will send an email message to both the student and instructor to notify them of the cancellation.
