About Google Gemini at UW-Green Bay
UW-Green Bay provides access to Google Gemini for users with an active UWGB account. Gemini is a generative AI tool that can help with tasks similar to Microsoft Copilot and ChatGPT, such as brainstorming, drafting, summarizing, organizing ideas, and creating starting points for written content.
Important: Use Gemini only with your UWGB account. Do not use Gemini for university work with a personal Google account.
Gemini in UW-Green Bay's Google Workspace environment includes data protections that prevent prompts from being used to train Google's generative AI models. Even with those protections, Gemini is not approved for FERPA, HIPAA, personally identifiable information, or other confidential or sensitive university data.
Do not enter student-identifiable information, protected health information, Social Security numbers, financial records, personnel details, legal information, or other restricted data into Gemini.
Accessing Gemini
- Go to Google Gemini.
- Sign in with your UWGB email address.
- If prompted, complete the normal UWGB sign-in and verification steps.
- After signing in, confirm that you are using your UWGB account, not a personal Google account.
If you are already signed in to a personal Google account, you may need to switch accounts or open Gemini in a private browser window before signing in with your UWGB account.
Using Gemini
Gemini can be used for general AI-supported work, such as:
- Brainstorming ideas
- Drafting or revising non-confidential content
- Summarizing non-sensitive information
- Creating outlines, checklists, or planning documents
- Explaining concepts or generating examples
Gemini should be treated as a draft and thinking assistant. Review all responses for accuracy, completeness, tone, and policy compliance before using or sharing the content.
Important: Google Drive is not currently enabled for use at UW-Green Bay or with Gemini.
Using Gems in Gemini
Gems are customized versions of Gemini that can be set up for repeated tasks or specific types of responses. For example, a Gem may help you follow a certain writing style, create recurring outlines, or provide consistent guidance for a repeated workflow.

Note: At this time, Gems cannot be shared with others at UW-Green Bay. If you create a Gem, it should be treated as a personal workspace tool within Gemini.
Troubleshooting Access Issues
- Make sure you are signing in with your UWGB email address.
- Do not use a personal Google account for university work in Gemini.
- If you are signed in to multiple Google accounts, switch to your UWGB account or try a private browser window.
- Close and reopen your browser, then try signing in again.
- If Gemini opens but does not appear to use your UWGB account, check your account profile in the top-right corner of the page.
