What is Microsoft Copilot?
Microsoft Copilot is a generative AI tool which helps users interact more efficiently with data, generate content, and automate tasks using natural language commands. UWGB uses the enterprise version of Microsoft Copilot, which prioritizes data protection. NOTE: UWGB's version of Copilot does not integrate directly into Office programs.

Microsoft Copilot for enterprise ensures that sensitive university data is protected. It utilizes the Azure OpenAI infrastructure, ensuring enterprise-grade security, privacy controls, and adherence to compliance standards.
Custom Queries and Automations
While Copilot can help streamline work processes, users must be cautious with the data input and output, ensuring that sensitive or confidential information is not used.
Best Practices and UWGB Guidelines
When Using Copilot
- Do not input any personally identifiable information (PII), FERPA-protected data, or sensitive university data.
- Use Microsoft Copilot for general-purpose tasks such as report generation, brainstorming, and creating non-sensitive documentation.
- Always verify the output for accuracy and relevance to your task.

UWGB’s GAI Policy clearly states that PII and FERPA-protected data must never be entered into any generative AI tool, including Microsoft Copilot. Always review the UWGB Generative AI Policy before using AI tools.

Enterprise Data Protection
The enterprise version of Microsoft Copilot used at UWGB is designed with security in mind, with measures in place to prevent unauthorized data access. However, users are responsible for ensuring they do not violate UWGB’s GAI policy when using the tool.
Data Compliance
Users must avoid sharing or processing any sensitive data, including but not limited to:
- PII (Personally Identifiable Information) such as names, addresses, and student IDs
- FERPA-protected information (student grades, schedules)
- Proprietary UWGB data
